We are delighted to share with you a set of new features and a list of fixes that we have in store for the December 2023 official release. With the improved quality and enhanced options, you can now experience a better Hospital Information System 8.

The list includes significant new features and fixes that we have been working on for the past few months since our last update, the September 2023 release (8.26.14.32).

We have also made some feature improvements to the Hospital Information System 8.


Before you run the new update, we highly recommend that you take the following steps to get the best result:

  1. Please note that it is important to disconnect all workstations from the main server before performing an Exe update. Connected workstations while updating may result in incomplete database structure updates, such as new columns, views, functions, stored procedures, and the like, which can result in more errors.
  2. Prepare the database by running the re-index script, especially for those who are still using R25 and the earlier R26 versions (no need for those running the IndexOptimize job). It is also advisable to run the shrinking log files script for those who have huge volumes of database files.
  3. For those who have not been updated in a long while, you must first execute all the previously released versions that came after your current version before performing the update to the latest version. This will ensure that you never miss any of the previous structure updates. We can also avoid any time-out expired validation during the update. Please check the table below for your reference.

  1. Please be reminded to secure a backup of reports before performing any Report Deployer update. It is mandatory to rename your RDL files every time you modify them (including the name of their views, stored procedures, and functions if these files were also altered). This is to assure users that any modifications made will still be intact after the update

Simultaneously Updating of HIS and PIS Patient Discharge Date

The Patient Discharge Date is being updated concurrently in both the HIS Patient Registry's Discharge Date and PIS Outright Deduction's Discharge, regardless of where the user modifies the patient's discharge date.

Patient Registration - History Patient Illness and Past Medical History

Add the fields of History of Present Illness and Pertinent Past Medical History to all registry modules.

  1. Required Setup: Enable History Present Illness and Past Medical History in All Registry Modules

  1. Once enabled, the History of Present Illness and Pertinent Past Medical History are now available in Inpatient, Emergency, and Outpatients Modules upon registration.

  1. The encoded History of Present Illness and Pertinent Past Medical History” in HIS during registration will be automatically reflected in CF4 Processing.



Inpatients - View Print Reports - Discharge Clearance Notice - Add UserName Parameter

Examination Upshots - Exam Schema add new header control free input date.

Added a new control in the examination schema.

System users can now input Date in during Manage Examination.

User Password Expiry Notification

Additional notification for system users indicating the number of days remaining before the password expiration date.

Post Professional Fee - Restriction of PF Posting

Added a new feature to restrict the posting of PF for Regular Consultant and Visiting Consultant only.

Once the setup is enabled, the posting of Post Professional Fee will be restricted to only Doctors having the Category of Regular and Visiting Consultant.




Blank Physician Name upon Post Charges in OPD

System Users – Other Settings

Once the setups are enabled, the Users can now tag the specific registries as confidential and only Users with access on Confidential Patient Registry can view the Confidential Registries.















Tag as MGH System Alert for Obstetrics Account with Well Baby Room-In Status

Added a new feature to enable a System Alert to inform the User that the Obstetrics Account is with a Well Baby Room-In.

  1. Required Setup - Enable Mother Account Prompt Message Upon May Go Home Tagging

  1. If the associated Baby has Well Baby Room-In Status, there will be a System Alert when the Obstetric Account is tagged as MGH.



Senior Citizen/PWD Indicator for Certification of Consumption benefits

If the PhilHealth is enough to cover the HCI and PF charges of the patient but has a senior or PWD discount, the amount will be displayed in the CF2 (XML) > 2nd box section (pEnougBenefits = N).

For OR Scheduling - Getz Clinical Integration

OR Scheduling is added for OPD and ER Patient along with Integration with Getz Clinic. Required Setup:

  1. For OR Schedule is added to ER, OPD and Inpatients module under Processing and Queries.

  1. Patient Form will appear after selecting patients.



  1. After completing the form and clicking OK, the patient will now be added to the Scheduling along with the details from the form. Add, Delete, and Void button is also added with color status on the first column.



      4.  Accepting OR Schedule can be accessed in Ancillary Services. Password Authentication will prompt immediately after selecting a patient and clicking Accept.
  1. After Password Authentication, the Patient Registration Form will prompt to finish the scheduling process.
  2. Patients scheduled in the ER will be registered in the ER module after Accepting. Same applies with OPD.
  3. Scheduled Inpatient will be forwarded to Getz Clinic for the integration.


View report - Getz Clinical Integration

Viewing of reports from Getz integration is now added to HIS. Required Setup:

  1. View Clinical Reports from Getz can be accessed in ER, OPD and Inpatients under Sub-Components.

  1. List of reports can be viewed and be opened in the browser.


Registration - Adding of Shareholder During Registration of Patient

Shareholders can now be added to the patient during registration as a mandatory field. Required Setup:

  1. Shareholder is added to the Mandatory Fields.


  1. The adding of Shareholders can be found in ER, OPD and Inpatients under Tables and Templates.

  1. The system will now require Shareholders during registration for all case types.



PIS

Outright Deductions  Doctor PHIC Number Validation Message

A prompt message will be displayed upon saving if the format of the encoded Accreditation Number for the accredited doctor is incorrect and/or incomplete.






Outright Deductions  EXCLUDED ITEMS DISCOUNT

The senior/PWD discount for the excluded item will be applied into the Computation table under the SC/PWD Disc./Vat column when the "Add excluded item to actual charge box" is checked.

eClaims Status Verification  Confirmation Message Activates When Attempting to Close with an Uploaded Document for Refiling.

A Confirmation Message is displayed when a user attempts to close the upload document module with an uploaded document for refile.

Print Claim Forms  Save the PDF Document for the Front and Back Pages of Claim Form 2.

Once the Claim Form 2 (Front/Back for eClaims Document) is selected, the Preview button will transition to the "Save PDF" function, allowing users to save a PDF file of Claim Form 2.

Upload eClaims and Get eClaims Status  Enable VIEW XML

The administrator has the capability to grant users to view the XML data of both pending and successfully submitted claims.

2. To show the VIEW XML button: Select transmittal number and press CTRL SHIFT ALT 1
3. To hide the VIEW XML button: Press CTRL SHIFT ALT 0

eClaims Case Rate  Additional case rates option for Stroke Patients.

The user has the option to include an additional case rate amount for eClaims in the category of stroke patients' cases.

Post Final Diagnosis – To utilize the case rate amount set in the eClaims case rate, the user needs to select the Stroke Case rate during the Post Final Diagnosis step.

Additional Parameter and new report format for "Purchase Request Inquiry"

This enhancement involves the addition of a new parameter for the Purchase Request Number in the Purchase Request Inquiry report.

1. The additional parameter for the Purchase Request Number can be activated or deactivated as needed

2. The additional parameter for the Purchase Request Number can be entered as free text.


Enhancement in Fund Cluster Drop Down Selection


This feature aims to improve the functionality of all fund cluster dropdown selections. It should now present the fund cluster description instead of the code. HOSPITAL MUST BE IMPLEMENTED AS GOVERNMENT HOSPITAL
















New filtering option for "Last Depreciation Date"

This feature aims to incorporate an additional parameter during the depreciation calculation process.
1. Added a new parameter for "Last Depreciation Month/Year" in the dropdown selection alongside "Reference Date Month/Year." The system now generates results based on the values specified for the last depreciation month and year.

Stock and Expense Issuance, Quantity Adjustment - Additional Columns

This enhancement introduces the capability to include additional fields/columns in Stock Issuance, Expense Issuance, and Quantity Adjustment modules. Specifically, the new fields—Expiry Date, Lot No., and PO No.—are designed for manual input exclusively. These additions are intended to facilitate reporting functions within the system.

  1. If the setup is marked as "YES," additional columns for Expiration Date, Lot Number, and Purchase Order (PO) Number will be presented for manual input. The Expiration Date should be entered in date format, while the Lot Number and PO Number should be provided through manual input, accepting alphanumeric characters.

This Feature enable the user to have a dedicated field in the Asset Repair Form Details for Nature and Scope of Work, Remarks/Comments/Recommendation and Materials Needed. This field is Alpha Numeric and can handle 50 characters maximum. HOSPITAL MUST BE IMPLEMENTED AS GOVERNMENT HOSPITAL

This is an enhancement in for FMS Setup and Option Auto Create AR for Guaranteed Accounts Settled Via Credit Card to prevent Voiding of Accounts Receivable Record from Official Receipt Payment using Credit Card.

Fixed the issue on family composition was misspelled.

Examination Upshots - Error managing Examination when field has no Normal Values

Fixed the error when user managing examination without normal values for examination schema.

Emergencies - The system has no alert message when Area / Bed No. is Blank

Fixed the error when area/Bed No. Was blank after transferring patient to ER from OPD.

Audit Trail - Patient Name in Audit Trail was blank when editing patient address

Fixed the issue when audit trail does not capture the patient's name after editing patient address.

Exclude Medical Package Excess in Post Discounts

Resolved the issue where items were incorrectly excluded, even when they did not belong to the medical package.

Post Discount for Professional Fee with 0 Discount Rate

Fixed the issue that the Doctor’s should not reflect in the list of PF if the selected Discount

Scheme has 0 Discount Rate in PF.


Automatic Account Suspension/Unsuspension per Patient Credit Limit

Fixed the issue to where the Patient is Unsuspended after charging a transaction even if the patient's balance is equal to or below the Credit Limit.

OPD Arrival Date and Time does not stamp in the Database

Fixed the issue where the OPD Arrival Date and Time is not stamped in the Database after

the Patient’s Registration.

Auto Transfer Unsettled Charges to New Registry

Fixed the issue where the Patient Charges are still transferred to the New Registry after the Admit Registry even if the Patient Charges are already settled/paid.

Cannot Edit Obstetrics Patient

Fixed the issue where the Obstetrics Patient cannot edit the Registration Details if the Newborn status of the Baby is Sick Baby

Referral - Selected form with details in referral forms should also be checked in referral form button

Room Price Schemes - Add, Edit & Delete of Room Price Schemes do not have User Validation/Authentication

Registration - No System Alert prompt even the Shareholder is Mandatory after Edit

Fixed the missing System Alert Prompt for missing Shareholder.

Fixed the issue in which the item was inactive but could still be selected in the Discharge instructions.

Laboratory and Diagnostic - Fully rendered status color not changing

Fixed the issue with the status color when rendering or voiding a request from the same or a different database in Outpatient and Ancillary.

CF4 Processing Audit Trail

Fixed the issue where the reflected Patient Name in Audit Trail is incorrect if the transaction is from CF4 Details



CF4 HCI Address

Fixed the issue where the HCI Address stamp did not match the assigned address for the patient at the specific branch.


FMS

Journal Voucher Module - Cancellation Entry is with No Fund Cluster of Official Receipt with Entry with Fund Cluster

Fix the issue through an enhancement ensuring that the Fund Cluster of the Cancellation Entry of an Official Receipt matches the Fund Cluster of the original Official Receipt payment entry.


Accounts Receivable - Batch Posting AR Guarantor - Error in Retrieval for Bill No per Grouping even though the Faarinv has null in FK_faBillTranMstr column.

Fix the issue for the Large Database client where the Bill No. Grouping during Batch Posting AR Guarantor contains a value, even if the particular record of Accounts Receivable has not been processed in the Billing Schedule Module of the HIS application.
